We are seeking a highly organized AP / Purchasing Coordinator to support our accounting and operations teams. This role is ideal for someone who is detail-oriented, proactive, and interested in growing within a construction or professional services environment.

Position Overview
The AP / Purchasing Coordinator will support accounts payable and purchasing activities by preparing purchase orders, tracking deliveries, organizing receipts, and assisting with invoice processing. Construction experience is not required, but a strong attention to detail and willingness to learn is essential.

Key Responsibilities
  • Prepare and issue purchase orders for materials, rentals, trucking, and services
  • Track deliveries, tickets, and receipts from vendors and field teams
  • Organize documentation to support invoice approval and payment
  • Assist with three-way matching (purchase order, receipt, vendor invoice)
  • Communicate with vendors regarding invoices, documentation, and discrepancies
  • Upload and organize documents in company systems (e.g., Procore, shared drives)
  • Support the accounting team with accounts payable processing
  • Maintain organized records for auditing and compliance purposes

Qualifications
  • Strong organizational and follow-up skills
  • Comfortable working with invoices, receipts, and documentation
  • Basic computer proficiency (Excel, email, document management)
  • Ability to communicate clearly and professionally
  • Willingness to learn new systems and processes

Preferred (but not required):
  • Construction, accounting, or purchasing experience
  • Familiarity with QuickBooks or Procore
  • Spanish bilingual
Schedule & Location
  • Full-time, Monday–Friday
  • Office based in Chicago (hybrid flexibility may be considered after training)
